What makes DocbookMD HIPAA-secure?
DocbookMD ensures that all standards for HIPAA and HITECH security are followed or exceeded, and enable physicians to be HIPAA-compliant while communicating with other doctors or their care team through the messaging app. All messages are sent and stored on our servers using high-grade encryption. Also, messages are not stored in the permanent memory of your device, so if your phone is ever lost or stolen, simply notify us, and we will deactivate your account so your patient messages remain confidential. Additionally, all physicians using DocbookMD messaging are required to sign a HIPAA business associates agreement (BAA), outlining our data protection and the responsibilities of all parties to keep patient information confidential.

Can I use DocbookMD on more than one device?
DocbookMD supports up to two devices per account: one phone (iPhone or Android) and one non-phone (iPad or iPod touch).
To set up a second device:
• STEP 1: Download the DocbookMD app onto your second device from the iTunes App Store or Google Play.
• STEP 2: Click on “I have an account,” then type in the same email address and same password you use for your first device log in.

What exactly does the DocbookMD app do?
DocbookMD helps physicians save time and prevent delays at point-of-care.
Features include:
On-Demand Messaging: Send and receive instant, secure, HIPAA-compliant messages from your medical society colleagues, much like a text message.
Set message priority: Get a 5 min., 30 min., or normal response time.
Multimedia Collaboration: Attach and receive high resolution images of X-rays, EKGs or wounds, by taking a photo using your device’s camera through the app.
Experience fast look-up of physicians using the easy-access directory
and the ease of having your medical society directory at your fingertips with the
directory of local pharmacies and hospitals.

Can I have my nurse or physician assistant put a copy of DocbookMD on their device?
Although the full version of DocbookMD remains available only to state and county medical society members, physicians may invite members of their staff, including nurses, PAs and care coordinators, to use the Care Team feature. Care Team requires an invitation by the member physician to the care team member directly through the app by selecting the “Care Team” tab in the main menu.

How do I add a physician or pharmacy to favorites?
To designate a favorite colleague or pharmacy, click or tap on the star on the physician photo or pharmacy graphic icon. You can also scroll to the bottom of a physician profile and click the “Add to Favorites” button.

Can I access DocbookMD from my desktop?
DocbookMD is not available from your desktop. DocbookMD is available from your iPhone, iPad or Android mobile device and can be downloaded from the App Store and Google Play.

What if my profile doesn’t exist?
This can be caused by a failed download of the complete physician directory. Re-download the directory by logging out and logging back in. If that doesn’t work, call DocbookMD support at 1 (888) 930-2048.
Registration and Login

How do I start using DocbookMD?
Download the free app from the App Store or Google Play. Once it is downloaded, open up the app and it will guide you through the easy registration process. (You will need to have your medical society ID number handy, or the e-mail address that you have provided to your medical society. If you do not know your number, contact your medical society for assistance.)
Once you’ve finished registration you can go right ahead and start using DocbookMD to contact your colleagues.

What if I have trouble registering?
- Make sure your medical society membership is up-to-date.
- Verify your medical society member ID number by contacting your society.
- If you are still having trouble or are having a different problem, click HERE for support.

How do I set up favorites?
To designate a favorite colleague, click or tap on the star on the physician photo. You can also click the “Add to Favorites” button on the physician detail screen.

How do I use the enhanced notifications?
From the “Options” menu, turn on enhanced notifications, which will allow you to receive an email and/or standard text message informing you a DocbookMD message is waiting.

Messaging

How do I send a message?
Registered DocbookMD users can send a message two ways: users can either click the “Send Message” button from a physician profile OR click on “Messages” from the menu and in the top right corner click on the new message icon.

How do I attach an image to a message?
Once inside the “Send Message” function, click on the camera icon in the left corner of the message screen. From there you can take a photo with your mobile device that will be instantly attached to the message. You will also be given the option to attach a photo from your library.

How do I turn messages on/off?
From the “Options” menu, select on or off to “Accept Messages.” You may also opt to disable/enable push notifications from your device settings.

Why can’t I receive messages from my colleagues?
You may have the option to receive messages switched off. To switch messaging on, go to “Options” from the menu and make sure “Accept Messages” is set “on.” Additionally, you can turn “Enhanced Notifications” on if you’d like to receive a text message or an email when you receive a message from your colleagues.

How do I update the physician data?
For iPhone/iPad: click “Settings,” choose “Refresh Data.”
For Android: click “Menu,” then click “Update Directory.”
Your device will update to the latest data, usually in a couple of minutes depending on the strength of your device’s connection.

Once DocbookMD has our member data up and running on the app, what comes next?
Once the medical society data is set up in the DocbookMD system, your society is ready to go.
We assist you in starting awareness about DocbookMD through multiple channels. We help you integrate information about the app on your website, coordinate awareness email campaigns with you, provide you with marketing materials, and in some cases plan launch events.
We work with you to have as many of your members as possible register for DocbookMD and actively use it. The more users, the more value for each physician on board. For the doctor it’s easy: just register with his or her medical society number and download the app!
